WORK SCHEDULE: Full-time, 40 hours per week, Monday–Friday, day shift with flexibility.

RESPONSIBILITIES: 1. Provides administrative and communications support to CTS management with detailed calendaring by scheduling appointments and coordinating complex meetings and conferences. 2. Provides communications support for new CTSA Trial Innovation Network Hub Liaison Team for the Utah CCTS. 3. Assists with document creation, development and organization for meetings, in-services, and conferences. Assists with agendas, quality minutes, presentation slides, correspondence, workflows and operating guidelines. 4. Provides administrative support to CTS management for protocol documentation and tracking. 5. Provides administrative support for scientific review committee assignments, reviews, formal documentation processes. 6. Facilitates Physician/Investigator communications and support for protocol-specific written communications and documentation. 7. Assists with decision-tracking. 8. Assists with utilization metrics, month-to-month tracking, and year-end tracking. Collects, organizes and analyzes data for specialized reports. 9. Develops templates and sophisticated spreadsheets for CTS managers to generate desired daily operational metrics. Assists in strategizing data presentation to meet desired outcomes. Coordinates the collection and preparation of operating reports. 10. Navigates CTS computer platforms to capture and organize daily operational data and serves as the expert in troubleshooting malfunctions or researching platform updates. 11. May assist with ongoing transition of all clinical daily operational documents to electronic centralized formats and tracks renewal dates of CTS unit specific policies and procedures. 12. May support management in establishing and maintaining procedures to ensure ISO 9001 compliance, transitioning to and maintaining unit-specific policies in document controlled libraries online (for both Document Control and Control of Records.)

This position is responsible for solving office problems such as documentation discrepancies, payroll or accounts payable issues, troubleshooting staff, faculty and student problems (or directing them to someone who can facilitate) and supervisory and personnel issues. Plans and expedites the flow of work while ensuring the smooth operation of the office under the pressure of frequent interruptions and changes in priorities.

Qualifications:

Associate degree in business or equivalency (2 years related work experience may be substituted for 1 year of education) and three years full-time secretarial experience required. Demonstrated human relations and effective written and verbal communication skills required. Knowledge of basic bookkeeping practices and direct supervisory experience preferred.

PREFERENCES: Self-starter, demonstrating high level of initiative and ability to manage priorities. Ability to adapt responsibilities to evolving priorities. Capability to flex between diverse computer platforms. Skillful in navigating Microsoft Office suite. Demonstrated ability to create professional documents and communications. Preference will be given to applicants with sophisticated excel spreadsheet skills to generate metrics and increase efficiencies.
