Description:

Considerations: Position works full time from our Park City, UT office. This position is required to be lodged in Park City, UT for approximately two weeks during the January Film Festival (lodging requirement determined annually). In addition, this role works extended hours (evenings and weekends) at key points throughout the year. Occasional travel to other Institute offices and events will be required.

Position General Summary: Provides administrative and project coordination to the Managing Director/CFO and provides support to the legal team in all aspects of the business, including contracts, compliance and intellectual property.

Essential Job Functions and Duties: Coordinates meetings, including taking and distributing minutes, travel arrangements, managing calendar, and processing expense reports for the Managing Director/CFO. Develops and maintains detailed project schedules, including all administrative tasks and acts as a liaison between Managing Director/CFO office and stakeholders (internal and external) involved. Drafts correspondences and prepares presentations as directed. Serves as logistical point of contact for the Utah Advisory Board, includes managing RSVP's, preparing meeting materials, etc. Maintains an accurate contacts list in conjunction with Managing Director. Coordinates UAB events working with Managing Director, UAB chair and committee chairs. Coordinates UAB logistics for Festival activities, including booking meeting spaces, catering, issuing invites to events and distribution of tickets, credentials, etc. Provides overall support to legal team. Gathers and produces legal documents, determines obligations under agreements/contracts, ensures all critical dates and deadlines are tracked accurately to ensure Sundance fulfills all obligations. Drafts and reviews contracts, forms, letter or other legal documents as directed. Conducts legal research as necessary. Updates and maintains legal templates. Maintains, updates, and organizes shared drives and contracts databases. Other duties as assigned.

Qualifications:

Legal authorization to work in the United States. Valid driver’s license and successful completion of DMV background check. 2 years paralegal experience. High-level administrative support, project coordination or similar experience. Strong attention to detail and accuracy in recording, tracking and issuing information, etc. Outstanding communication skills, oral, written, presentation and interpersonal skills required to work effectively with a wide variety of people. Ability to work independently and reliably under tight timeframes in a fast paced environment with minimal supervision. Ability to collaborate across various teams and external contacts. Must be able to maintain confidential information. Ability to work nights and weekends around events and key deadlines.

Preferred Education, Experience and Skills: Bachelor’s degree. Paralegal certificate Contract drafting experience. Experience in a non-profit organization. Experience working with an external board strongly preferred.
