Description:

Purpose/Goal: Assuring guests an enjoyable stay by properly taking care of their needs personally or contacting the proper personnel to resolve problems. Top quality service is the key.

Check-in guests. Preauthorize rooms with a method of payment, either cash or a credit card. This should cover room and tax for the assigned nights. All changes or additions to name, address, city, etc., need to be typed into the computer. Guest keys should be given out confidentially according to company procedures. Check-out guests . Close the guest’s account by accepting cash or a credit card equal to the guests balance. The final result should be a vacated room and a zero balance. Sales . Sell rooms to walk-in and phone customers starting at a rack rate and negotiating a lower rate if needed to keep the customer. Try to capture as many sales as possible. Sell the hotel’s amenities and negotiate a price. Commissions do exist on spa suite rooms. Reservations . The front desk is responsible for all reservations. Sales skills are to be used. The reservation form must be completely filled out with a credit card or legitimate hold type. Close or open dates on the Best Western computers to keep from overbooking. Persons making the reservations are responsible for blocking rooms or accommodating special requests at the time the reservation is made if requested. Maintenance . Repair items on the hotel property that are broken. For example: plunging a toilet. Customer Service . Promptly answer guest’s questions, take care of requests, and resolve any problem a guest may have in a professional manner. If the clerk doesn’t have an answer, find one. Keep the Front Office and Lobby area clean to appeal to guests coming into the hotel’s Lobby. Clean up may also be required in the Board or Conference rooms. Cash Intake . Each clerk is responsible for cash taken in during a day. A drawer is assigned and must be balanced at $100 before and after a shift. An employee audit should balance all credit cards and cash. The cash envelope should be deposited in the safe’s drop slot after every shift if cash was taken. Credit card receipts should be left in the cash drawer. Gift Shop and Posting . Gift Shop items are to be purchased from the front desk and posted by the employee handling the payment method. All faxes and copies are also to be posted by the front desk employees. Tax needs to be charged on everything. Rounds are to be made through the hotel and around the property to look for questionable behavior or damage done. A cellular phone is provided to take on rounds in case of emergencies. Make note of any oddities and leave them on the Front Office Manager’s desk. Always keep access keys and guest information secure. Misc . Job lists may be left for the front desk clerks to accomplish while on shift. Attend monthly Front Desk meetings. Complete training segments as assigned. Actively participate in Signature Training. Adhere to the policies and procedures in the Company Policy Handbook. Security Checks. Night Audit staff are to periodically check the grounds and report any issues to the applicable departments, management or the police. This also includes straightening pool furniture and cleaning pool towels. End of Day Reports. Close out the days transactions and prepare for the following work day

Qualifications:

Honesty & Integrity. Happy attitude, courteous, a desire to serve others. Pro-active in problem solving, and willing to make mistakes. A willingness to be open-minded and teachable. Computer Database & Internet based software operations. Quality personalized customer service and public relation skills. Excellent communication skills. Work well with guests and employees. Ability to work long strenuous hours under pressure, but most days are calm and steady. Comprehensive knowledge of security measures, training provided. Sales experience, helpful but not required, we will train. Basic Housekeeping skills, you will use them. Basic Maintenance skills, you will use them. Education Required: High School Diploma, GED, or currently enrolled
