Description:

The Clinical Trials Office (CTO) in the Department of Pediatrics at the University of Utah School of Medicine has an immediate opening for an Administrative Assistant. Under the supervision of CTO leadership, the Administrative Assistant provides comprehensive and complex administrative support. Responsible for all administrative matters in the day-to-day operations of the CTO.

COMPENSATION: $15.19 to $24.85/hour DOE. Strong benefit package including tuition reduction program, retirement and health plan options.

WORK SCHEDULE: Full-time, 40 hours/week, Monday–Friday, 8:00 a.m. to 5:00 p.m.

RESPONSIBILITIES: 1. Provides comprehensive and complex administrative support to Clinical Trials Office leadership and support staff. 2. Manages a full array of administrative responsibilities, including but not limited to: • Front desk reception • Meeting scheduling and conference room setup • Office maintenance • Receiving and distribution of purchases • Processing reimbursements • Travel arrangements • Tracking of staff trainings and certificates • Facilitating new employee onboarding • Other administrative duties and ad-hoc projects as assigned 3. Serves as the liaison between the CTO and departmental units for tracking and assigning gift cards for research participant visits. Manages other forms of study participant reimbursement. 4. Manages equipment and supply inventory within budgetary parameters.

Qualifications:

Associate degree in business or equivalency (2 years related work experience may be substituted for 1 year of education) and three years full-time secretarial experience required. Demonstrated human relations and effective written and verbal communication skills required. Knowledge of basic bookkeeping practices and direct supervisory experience preferred.

PREFERENCES: • Working knowledge of Microsoft Office programs, including Outlook, Word, Excel, and PowerPoint. • Previous work experience in a health care environment. • Previous purchasing and financial experience. • Strong attention to detail.
