SUMMARY
This position will be responsible for all administrative duties and provide overall support for the Human Resources department. The position reports to the Regional Director of Human Resources.

DUTIES

  • Administer and coordinate all aspects of the new-hire paperwork process including but not limited to background check and drug screen processing, conducting social security number verification, I-9 verification, processing of Requisitions and Personnel Action paperwork, processing of WOTC and Welfare-to-Work tax credit forms, data entry into CSD ticket system, processing and distribution of name badges, completion of tracking logs, communication with hiring manager and team member, etc.

  • Process paperwork and acquire appropriate approval / signatures for team member Terminations, Transfers, Promotions, Status Change, Paid Leave, and New Hire Paperwork.

  • Assist with coordinating and conducting new-hire orientation (NHO) sessions, and prepare and coordinate all items pertaining to the new hire orientation sessions including scheduling, set-up, confirmation of number of participants, ordering of participant manuals and coordination of acknowledgement forms.

  • Perform general support duties including but not limited to office and phone coverage, data entry of disciplinary warnings, tracking, respond to inquires regarding policies, procedures and Human Resources forms, issue adverse action, administer Westgate Foundation drives and fundraising events, coordinate and ensure timely processing of team member referral bonuses, stock and maintain office supplies, prepare various Human Resources logs and tracking as needed.

  • Processes employment applications and assists in other staffing, recruiting, interviewing activities.

  • Distribute benefits enrollment packets such as life, health, dental, and disability insurance, pension plans, vacation, sick leave, leave of absence, and team member assistance. Review submitted enrollment forms for completeness and supporting documentation, respond to inquires, and conduct benefits orientation sessions and benefits open enrollment meetings

  • Assist team members in filling out medical enrollment forms, 401K, and direct deposit forms.

  • Exit Interviews

  • Maintains property headcount, personnel reviews, and team member anniversaries & birthdays

  • Verification of employment

  • Coordinate appropriate documents for response to unemployment claims, subpoenas, and agency requests in compliance with Human Resources procedures for Regional Director of Human Resources to review.

  • Image Quest all personnel files and paperwork.

  • Responsible for providing team members with information by postings, emails and/or flyers.

  • Handle team member concerns/questions regarding insurance, payroll, vacation/sick time, leaves of absence, etc.

  • Take statements of complaints from managers and team members regarding complaints for referral to Regional Director of Team Member Services. Refer management staff to Regional Director of Team Member Services for team member relations issues.

  • Supports Team Member Services Manager in all facets of TMS related activities.

  • Other duties may be assigned

QUALIFICATIONS

EDUCATION and/or EXPERIENCE
Ideal candidate will have hospitality operations or human resources experience. Two or four year college degree or technical school; or six months to one year related experience and/or training; or equivalent combination of education and experience.

LANGUAGE SKILLS
Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other team members of the organization. Bilingual (Spanish/English) preferred but not required.

MATHEMATICAL SKILLS
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.

REASONING ABILITIES
Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations.

CERTIFICATES, LICENSES, REGISTRATIONS
Bilingual preferred - English and Spanish. Computer Skills - Knowledge on Microsoft Office (Word, Excel, Power Point)
