Description:

This internship position would last the duration of the summer semester and is available to any student enrolled in at least 3 credit hours on campus during the summer.


As a part of the Collections and Exhibitions team at SUMA, the Collections Assistant will help over see collections management, incoming and outgoing artwork loans, campus loan program, condition reports, gallery rotations, monitoring gallery spaces, artist research, SUMA's integrated pest management plan, and assist with artwork transportation.


Specific Job Responsibilities Include:

  • Oversee collection management: Following prescribed procedures, manage and oversee the organization and preservation of Permanent, Campus, and Education collection objects in the collections space. Oversee the updating and inputting of data into past perfect relating to collection objects.
  • Oversee incoming and outgoing artwork loans: Work with Director and Head of Collections & Exhibitions to generate and complete necessary paperwork. Oversee the packing and unpacking artwork loans. Ensure condition reports are completed for loan objects.
  • Assist in Campus Loan program: Facilitate requests from SUU faculty/staff. Complete condition reports for objects going out and coming in as part of the program. Coordinate the transport and installation/de-installation of objects on campus. Maintain an updated list of available objects for campus loan. Coordinate with Director to work to remove any works on paper from campus locations. Oversee the annual campus artwork inventory and implement condition reporting process. Monitor environmental conditions of artwork out on campus.
  • Oversee the completion of condition reports for SUMA collection objects going on display in the gallery, SUMA objects going on loan, and incoming loan objects. Develop/update SUMA condition report documents.
  • Assist in Gallery Rotations: Ensure condition reports are completed for objects being de-installed, and objects going up for display. Oversee de-installation process: condition reporting, ensure objects are properly re-packed when applicable, and placed in the correct locations. Monitor the handling of artwork to make sure it is done properly and safely. Assist with formatting object labels. Also assist with gallery prep (painting/patching) and installation.
  • Assist Head of Collections & Exhibitions with monitoring general conditions of the collection spaces: Help monitor light levels, humidity, and temperature of collection rooms. Assist with monitoring the condition of collection preservation materials, and properly use said materials. Research best practices and procedures for improving overall collections preservation. Assist Head of Collections & Exhibitions with any updates/changes to preservation materials being used in all collection spaces. Work with Head of Collections & Exhibitions, Director, and Facilities as needed to improve conditions as needed.
  • Oversee the organization of artist files and research. Create criteria for desired information. Utilize staff and volunteers to perform research. Organize and maintain files. Consider rehousing/expansion of files.
  • Oversee and execute Integrated Pest Management Plan.

Qualifications:

Candidate must demonstrate exceptional communication skills, excel in basic Microsoft Office and Google Drive applications, and show a history of punctuality, professionalism, and follow through.


Preferred qualifications include:

  • Interest or experience in the arts
  • Experience handling works of art
  • Experience working in a museum or gallery setting
  • Interest in art history
  • Knowledge of Adobe Creative Cloud Suite
