Job Summary:
The Student Office Assistant will play a vital role in supporting the College of Natural Sciences by assisting with general office duties, financial processes, and front desk operations. This position requires a dependable, self-motivated individual who takes initiative, communicates effectively, and maintains a professional and welcoming environment for students, faculty, staff, and visitors. This position has a high degree of responsibility, and it is critical that we have office coverage when scheduled.
Our goal is to interview and have someone start after Spring Break, complete training, assist with end-of-year tasks, and continue with us next year.
Key Responsibilities:
- Serve as the first point of contact in the office, greeting visitors and providing assistance.
- Answer and direct phone calls; respond to emails in a timely and professional manner.
- Schedule appointments and maintain office calendars as directed.
- Support financial tasks such as processing travel authorizations, budget updates, and purchase orders.
- Assist with purchasing card transaction management and reconciliations for the Dean’s office.
- Help coordinate and assist with college events as needed.
- Assist with various clerical and administrative projects.
- Maintain confidentiality and handle sensitive information with discretion.
- Take initiative on assigned projects, ensuring they are completed accurately and efficiently.

Qualifications:
- Must be work study eligible
- Strong work ethic, dependability, and punctuality are essential.
- Excellent verbal and written communication skills.
- Ability to take initiative, problem-solve, and work independently.
- Strong organizational skills with attention to detail.
- Basic proficiency in Microsoft & Google Platforms.
- Ability to work well in a team environment and interact professionally with faculty, staff, students and campus visitors.
Preferred Qualifications:
- Experience in customer service, office administration, or clerical duties is preferred.
- Interest or background in either Business - accounting or finance, or Natural Sciences - Biology/Chemistry/Geoscience is a plus but not required.
- Previous office experience or familiarity with campus systems is beneficial.
Work Hours & Timeline:
- Flexible hours to accommodate class schedules, typically during standard office hours.
- Start Date: After Spring Break, allowing for training before the semester ends.
- Commitment: This position is intended to continue into the next academic year, so applicants should be available beyond the current semester.
