The College of Science, Technology, Engineering & Mathematics is seeking two student workers to join the Dean’s Office team. These positions are part of a group of student workers who share responsibility for front desk coverage in both the Science Center and the Engineering & Technology Building. The Dean and Business Manager rotate between locations, so there will be times when you are the primary person in the office. Reliability and responsibility are essential in this role.
The College Office Assistant provides front desk coverage while also helping with college projects and events.
Key Responsibilities
- Greet visitors, answer phones, and respond to emails in a timely, professional manner.
- Assist with scheduling appointments and managing calendars for the Dean, Associate Deans, and College Business Manager.
- Perform general administrative duties to maintain organized records.
- Support coordination of college events, ensuring smooth logistics and clear communication.
- Manage office supply inventory, reorder materials as needed, and track departmental resources.
- Handle inquiries and unexpected situations, providing effective solutions to keep operations running smoothly.
- Maintain confidentiality of sensitive departmental and student information.
- Uphold professional standards of dress, conduct, and behavior, especially during high-traffic time
Qualifications:
- High degree of responsibility and reliability—must be punctual and dependable for scheduled shifts.
- Strong communication and interpersonal skills, with good phone etiquette.
- Ability to maintain confidentiality.
- Mature, professional demeanor and appearance.
- Detail-oriented and able to work independently.
- Ability to stay calm and organized in a busy, high-traffic environment.
- Proficiency with Excel, Gmail, Google Calendar, Google Sheets, and Google Docs.
- Strong customer service and multitasking skills.
- Ability to work collaboratively with other team members.
- Basic problem-solving skills to address common issues or route them appropriately.
