Description:
This role involves a dual focus on both receiving/postal duties and delivery services for the campus Post Office. The clerk is a vital part of the university's operations, ensuring that all incoming and outgoing items are handled with care and efficiency.
Responsibilities:
Delivery and Logistics:*
- Identify supplies, materials, equipment, and packages for delivery using invoices, purchase orders, departmental order forms, and purchasing card receipts.
- Safely load items onto a delivery vehicle.
- Transport items securely to their destination, preventing damage in transit.
- Deliver items to the correct administrative and academic departments on campus.
- Obtain and document signatures for all delivered items.
- Deliver a variety of miscellaneous items, including large mail packages, shipping and receiving items, and computer printer paper.
Receiving and Postal Operations:
- Tag all packages and freight before delivery.
- Document the receipt of all incoming supplies, materials, and equipment for the university.
- Update staff and students on distribution methods.
- Assist with receiving items from external sources.
- Prepare items for shipment or delivery.
- Store property in a safe and efficient manner that allows for easy access, accountability, and minimizes the risk of damage.
- Vehicle and Equipment Maintenance:
- Perform routine spot checks to ensure delivery vehicles and equipment are in good working condition.
Safety and Operations:
- Operate various motor vehicles, light delivery vehicles, and a forklift in a safe manner to maintain a secure work environment.
- Help reduce the likelihood of personal injury or property damage through safe operating practices.
Qualifications:
- Logistical Expertise: You must be organized, pay close attention to detail, and manage your time efficiently. You should also be familiar with shipping, receiving, and billing procedures.
- Technical Proficiency: You must be able to use shipping/receiving software and demonstrate solid problem-solving skills.
- Physical Capability & Equipment Operation: You should be able to lift and move boxes up to 50 lbs. and operate light delivery vehicles, including those with a manual transmission. You must also be willing to learn how to operate a forklift.
- Safety & Compliance Knowledge: You must be aware of proper safety and handling procedures for various materials, including dangerous goods and chemicals. Familiarity with postal operations is also preferred.
- Interpersonal and Communication Skills: You must work well in a team, communicate clearly and effectively, and handle any discrepancies calmly and politely.
