Description:

This position requires the student employee to perform basic duties to assist with the mission and purpose of Guest Services. This student position will mainly be responsible for the scheduling and coordination of events in the Hunter Alumni Center. From time to time, this position may help with the scheduling and coordination with youth camps on campus during the summer months.

The Guest Services and Centralized Scheduling offices are open and staffed throughout the year. We are open over Fall Break, Christmas Break, Spring Break and during the summer months, when campus is open. Student must be willing and able to work during these times.

Responsinilities:

  • Making and receiveing phone calls and emails related to event scheduling and coordination on campus.
  • Assisting the Manager of Guest Services and Centralized Scheduling if needed, but will work directly with the Hunter Alumni Center Event Coordinator.
  • Learn and become efficient with the Coursedog Scheduling software and basic Quickbooks.
  • Generate Facilities Use Agreements and estimates for events on campus and provide insurance information for guests.
  • Others duties as needed.

This is a 20-hour per week position. The Hunter Alumni Center is open between the hours of 8a to 5:30p, Monday through Friday.

Qualifications:

  • Must be well organized with strong attention to detail.
  • Must be personable and work well with others.
  • Must be comfortable communicating in a professional manner by phone, email and in person.
  • Must have excellent verbal, spelling and grammatical skills.
  • Must be able to take direction and work both independently and as a member of our team of student employees and SUU staff.
  • Must be self-motivated and complete tasks, often with short deadlines.
  • Must maintain the ability to see an event from start to finish, using effective time management skills
  • Professional manner and dress is expected.
  • Must be a quick learner and able to retain important event information.
  • A knowledge of campus facilities and spaces is a plus.
  • Must be able to multi-task with the ability to work on multiple events at the same time.
  • Prior relevant event management experience is a plus.
