Description:
This position requires the student to perform administrative duties to assist with the daily responsibilities of Centralized Scheduling. These duties include, but are not limited to incoming and outgoing phone calls, emails and face-to-face interaction relating to the scheduling and coordination of events at SUU. The student will be responsible for scheduling both on-campus and off-campus requests for use of SUU campus facilities and grounds using Coursedog, our University scheduling platform.
Communication is a large part of this job. This student position will communicate frequently with various departments and staff on campus, as well as some student and community guests. This position works closely with the Manager of Guest Services and Centralized Scheduling, and will be responsible for generating Facilities Use Agreements, estimates and invoices, as well as gathering insurance documentation for events. A large part of this job includes contacting event guests regarding their event details and ensuring the accuracy of information.
Student will work daily with Coursedog scheduling software, Quickbooks, Google Office and Word.
This position requires a strong commitment to excellence, effective time-management skills, ability to effectively multi-task with many events at the same time, be very dependable and possess a proven strong attention to details.
There will b some team collaboration, but student must be able to work independently, be self-motivated and have proven customer service skills.
This is a fast-paced office environment with times of high stress.
Qualifications:
- Must be well organized with strong attention to detail
- Must be comfortable communicating in a professional manner by phone, email, and in person
- Must be able to work well with faculty, staff, student peers, and community members
- Must have excellent verbal, spelling and grammatical skills
- Must be able/willing to take direction, work independently, as well as working as a team
- Must be self-motivated and complete multiple tasks with frequent deadlines
- Professional mannerism and professional dress is required
- Maintain the ability to see an event from start to finish using good time management skills
- Must be able to maintain confidentiality
- Must be a quick learner
- Successful applicant must be able to learn and become proficient with Coursedog scheduling software, basic Quickbooks, Word and Dropbox Sign
- Knowledge of campus facilities is helpful. Prior event coordination experience is a plus
- Must be able to multi-task and work in a a fast-paced, often busy office setting
- Must maintain the ability to work on multiple projects at the same time

Must be dependable and able/willing to work over campus breaks, including times when classes are not in session, including Winter break, Spring break and during the summer months
