Description:

The College of Science, Technology, Engineering & Mathematics, CSTEM is hiring 1 student worker to serve as the Budget/Data Office Assistant in the Dean’s Office. This position is part of our office team and combines financial/data responsibilities with front desk coverage. The role requires strong attention to detail, reliability, and professionalism when working independently or as part of the team.The Budget/Data Office Assistant plays a key role in supporting the daily budgetary, accounting, and data-tracking operations for CSTEM.

Responsibilities:

  • Perform reconciliation of various accounts, ensuring accuracy and adherence to financial guidelines.
  • Submit travel authorizations for Dean’s Office staff.
  • Track allocations for purchasing card expenses for the college.
  • Track budgets of undergraduate research projects.
  • Conduct periodic department deficit and budget checks; track and analyze financial transactions, trends, and variances to ensure adherence to budget guidelines.
  • Assist with comprehensive budget reviews for college and department budgets.
  • Scan and archive backup documentation, typically on a weekly basis.
  • Provide front desk coverage when scheduled, including greeting visitors, answering phones, responding to emails, and directing inquiries appropriately.
  • Assist with event logistics and other college projects as needed.
  • Maintain confidentiality of sensitive financial and student information.
  • Other duties as assigned to support the smooth operation of the Dean’s Office.

Qualifications:

  • High level of responsibility and reliability—punctual and dependable for assigned shifts.
  • Demonstrated proficiency with Microsoft Office Suite (especially Excel) and Google Workspace.
  • Excellent listening, communication (written and verbal), and organizational skills.
  • Ability to work effectively both independently and as part of a team.
  • Detail-oriented, with strong problem-solving skills and the ability to handle multiple priorities.
  • Strong preference for candidates with a background in finance, accounting, or data analysis.
