Description:

This is a student employee position within the Office of Guest Services and Centralized Scheduling at SUU. The hired student will perform basic administrative duties and assist in the management and scheduling of events utilizing SUU campus facilities.The office is open and staffed year-round, including during Fall Break, Christmas Break, Spring Break, and the summer months when campus is open. Works closely with the Manager of Guest Services and Centralized Scheduling.

Responsibilities:

  • Handle incoming and outgoing phone calls and emails related to event scheduling.
  • Spend the majority of time communicating with guests to ensure the success of their upcoming events.
  • Communicate frequently with various departments and staff on campus.
  • Communicate with community guests using campus facilities.
  • Student will work daily with Coursedog Scheduling software, Quickbooks, Google Office and WORD.
  • Assist in generating Facilities Use Agreements.
  • Assist in creating estimates and invoices for scheduled events.
  • Assist in gathering insurance documentation for scheduled events.
  • Engage in team collaboration as needed.
  • Must be capable of working independently.

Student will work daily with Coursedog Scheduling software, Quickbooks, Google Office and WORD.

Qualifications:

  • Excellent professional communication skills (verbal, spelling, and grammar) across phone, email, and in-person settings.
  • Must be able to interact effectively with a diverse group including faculty, staff, student peers, and community members.
  • Maintain a professional demeanor and adhere to required professional dress standards.
  • Ability to maintain composure in a fast-paced, busy office setting.
  • Highly organized with strong attention to detail.
  • Proven ability to multi-task and manage multiple projects/events simultaneously (often with equal priority).
  • Able to take direction, work independently, and contribute effectively within a team environment.
  • Quick learner with the ability to quickly become proficient in required software (Coursedog Scheduling, basic Quickbooks, WORD, Google Office, and Dropbox Sign).
  • Must be able to maintain strict confidentiality.
  • Ability to work 20 hours per week between 8 a.m. and 5 p.m. (Potential for more hours during breaks and summer when classes are not held).
  • Knowledge of campus facilities and prior event coordination experience is a plus.
