Description:
Aid the Executive Assistant to the President in managing the affairs of the Board of Trustees, including meeting arrangements, agenda preparation, and other related tasks
Assist with meeting set-ups, website updates, public notices, and other administrative support
Support the planning and coordination of office meetings and luncheons
Answer phone calls and respond to emails promptly and professionally
Welcome the general public to the President's office suite, providing a warm and professional first impression for guests of the following offices: President's Office, Provost's Office, and the VP of Finance and Administration
Manage shopping and stocking of office supplies
Ensure the care and upkeep of the general office environment
Complete other administrative tasks as needed by the President's Suite
Qualifications:
Cover letter and resume required
Detail-oriented with strong organizational and time-management skills
Ability to handle sensitive and confidential information with discretion
Self-motivated and able to work independently, especially during quieter office periods
Friendly, personable, and professional demeanor, with a commitment to excellent customer service
Teachable and adaptable, willing to learn new skills or adjust to new responsibilities as needed
Dependable and able to meet deadlines and manage multiple tasks simultaneously
Flexibility to respond to shifting office needs and special projects
Strong organizational skills and attention to detail
Adaptability and flexibility to work on various projects, events, and office needs
Professionalism in verbal and written communication (email, phone, etc.)
Comfortable using Google Suite (Docs, Sheets, Drive, etc.) and Adobe Acrobat
Dress code: Business casual (business formal for special events such as Board of Trustees meetings, Commencement, and other executive events)
Ability to work up to 20 hours per week during the academic year (maximum)
Ability to work up to 40 hours per week during the summer (maximum)
Availability to work weekdays between 8 a.m. and 5 p.m.
