Description:

The primary focus of this position is to provide assistance and customer service to the students, faculty, staff, and general public within the HSA department. Students will provide front desk support by answering phones and scheduling appointments. Performs other administrative duties, including general office tasks, photocopying, and financial processes. Assists with other tasks as needed. This position requires a dependable, self-motivated individual who takes initiative, communicates effectively, and maintains a professional and welcoming environment. This position carries a high degree of responsibility, and it is crucial that we maintain office coverage as scheduled.

Responsibilities:

  • Serve as the first point of contact in the office, greeting visitors and providing assistance.
  • Answer and direct phone calls; respond to emails in a timely and professional manner.
  • Assist Faculty and Staff through creating and maintaining spreadsheets, making copies, and assisting in proctoring exams, etc.
  • Schedule appointments and maintain office calendars as directed.
  • Support financial tasks, including processing travel authorizations, budget updates, and purchase orders.
  • Help coordinate and assist with college events as needed.
  • Maintain confidentiality and handle sensitive information with discretion.
  • Take initiative on assigned projects, ensuring they are completed accurately and efficiently.

Qualifications:

  • Strong work ethic, dependability, and punctuality are essential.
  • Excellent verbal and written communication skills.
  • Ability to take initiative, problem-solve, work independently, and prioritize tasks.
  • Strong organizational skills with attention to detail.
  • Basic proficiency in graphic design using Canva, Microsoft & Google Platforms.
  • Experience or coursework managing social media platforms (e.g., Instagram), including planning content, creating visuals with design tools, and handling posts.
  • Ability to work well in a team environment and interact professionally with faculty, staff, students, and campus visitors.
  • Must be able to be pleasant and function calmly in a high-paced, busy environment with a steady flow of students checking in for appointments.
